Reservation & Cancellation Policies
Equipment Rentals and Shuttles
All equipment rentals and shuttle reservations must be paid in full at the time of booking.
Cancellations made more than 48 hours in advance are eligible for a full refund, minus a 3% cancellation fee. Cancellations made less than 48 hours prior to the reservation are non-refundable.
If the Going-to-the-Sun Road opens earlier than expected, a full refund will be issued for all bike shuttle reservations scheduled during that period. The standard cancellation policy still applies to bike rental reservations during that time.
Day Trips – Rafting, Hiking, Biking
All day trips—including rafting, hiking, and biking—require a 25% deposit by credit card at the time of booking. The remaining balance is due 7 days prior to departure. Reservations made within 7 days of departure require full payment at the time of booking.
Cancellations made more than 48 hours in advance are eligible for a full refund, minus a 3% cancellation fee. Cancellations made less than 48 hours prior to departure are non-refundable.
Day Trips – Fly Fishing
All fly fishing day trips require a 25% deposit by credit card at the time of booking. The remaining balance is due 7 days prior to departure. Reservations made within 7 days of departure require full payment at the time of booking.
Cancellations made more than 15 days in advance are eligible for a full refund, minus a 3% cancellation fee. Cancellations made between 15 and 7 days prior to departure will forfeit the 25% deposit. Cancellations made less than 7 days prior to departure are non-refundable.
Multi-Day Trips: Rafting, Hiking, Backpacking, Fishing
Multi-day trips require a 25% deposit, payable by credit card at the time of booking. The remaining balance is due 45 days prior to your scheduled departure date. For reservations made within 45 days of departure, full payment is required at the time of booking.
Cancellations made more than 45 days prior to the trip date will incur a $50 per person cancellation fee. Cancellations made between 45 and 30 days prior to departure will be subject to a 25% cancellation fee. No refunds will be issued for cancellations received after 4:00 PM, 30 days prior to the trip date.
Chalet Trips
Chalet trips require a 25% deposit, payable by credit card at the time of booking. The remaining balance is due 45 days prior to your scheduled departure date. For reservations made within 45 days of departure, full payment is required at the time of booking.
A $10 administrative fee will be applied to all changes and cancellations after the initial booking.
Cancellations made by 4:00 PM, 45 days prior to the arrival date will receive a full refund, less any applicable administrative fees. Cancellations made between 45 and 30 days prior to arrival will forfeit the deposit, in addition to any administrative fees. Cancellations received less than 30 days prior to the arrival date are not eligible for a refund.
Glacier Guides Lodge
Reservations at our Lodge require a 50% deposit at the time of booking. The remaining balance will be charged 14 days prior to the reservation date. For reservations made within 14 days of arrival, full payment is required at the time of booking.
Cancellations made more than 14 days prior to the reservation date will incur a $25 per room cancellation fee. No refunds will be issued for cancellations received after 4:00 PM, 14 days prior to the reservation date.
Glacier Guides Guest House
Reservations at the Glacier Guides Guest House require a 50% deposit at the time of booking. The remaining balance will be charged 45 days prior to the reservation date. For reservations made within 45 days of arrival, full payment is required at the time of booking.
Cancellations made more than 45 days prior to the reservation date will incur a $50 per night cancellation fee. No refunds will be issued for cancellations received after 4:00 PM, 45 days prior to the reservation date.
GOOD TO KNOW
As a small business operating within a limited season, last-minute cancellations have a significant impact on our operations. For this reason, we must adhere to our cancellation policies in all circumstances, including personal injury, illness, or other emergencies. We strongly recommend purchasing travel insurance to protect against unforeseen events.
Cancellation – Weather:
Trips depart rain or shine. Cancellations on our part due to weather are extremely rare. We do not guarantee favorable weather conditions and do not issue refunds due to weather. Travel insurance is recommended.
Cancellation – Wildfires and Smoke:
Clear skies cannot be guaranteed during the summer months. While it is rare for us to cancel trips or close lodging due to wildfires or smoke, in such cases we will work with you to reschedule your reservation for a later date. Travel insurance is recommended.
Cancellation – Natural Disasters and Other Events:
We must adhere to our cancellation policies in all circumstances, including natural disasters, terrorism, and other unforeseen events. Travel insurance is recommended.
Transfers:
In most cases, you may transfer from one trip to another without penalty up to 60 days prior to departure, subject to availability. Within 60 days of departure, our standard cancellation policy applies.
